FCI is hiring for a full time Office Manager to oversee our Tinley Park & Warrenville clinics. Standard hours of the position are 7:30 am-4:00 pm or 8:00 am-4:30 pm.
The Office Manager is responsible for the smooth and efficient day-to-day practice operations including supervision of Patient Service Coordinators, Phlebotomists, & clinical employees, staff training and development, patient satisfaction, quality assurance, financial integrity, facility appearance and maintenance of assigned site(s).
This person works in collaboration with the Senior Leadership Team and other members of the management team to ensure the delivery of the highest quality care to all patients. This is an exempt position that is not eligible for overtime and is paid on a salaried basis.
Responsibilities include, but are not limited to the following:
Promoting and representing the Fertility Centers of Illinois’s mission, goals and performance standards.
Monitoring monthly operational activities. The River North building is historic, and maintaining frequent contact with property management is essential.
Reviews monthly reports and maintains statistical data relevant to the management of the facility.
Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences.
Optimizes patients’ satisfaction, provider time and treatment room utilization by implementing appropriate staffing policies and procedures and monitoring effectiveness.
Participating in the selection, training, supervision and assessment of Patient Service Coordinators (PSCs).
Planning and coordinating daily work assignments.
Understanding and enforcing OSHA and HIPAA compliance, participating in all Risk Management training and initiatives.
Assisting in the development and implementation of long-range plans/assisting FCI achieve Company goals.
Conducting performance evaluations and disciplinary actions, when appropriate
Conducts monthly/quarterly clinical meetings with reporting staff
Participating in the development/implementation of cost effective policies and procedures.
Managing and assisting with daily preparation of bank deposits, batch reconciliations and the control of all matters related to Revenue Cycle Management.
Working effectively with physicians, staff and patients, as well as collaborating with other internal and external customers.
Driving exceptional patient experience, while promoting good practices and staff accountability.
Understanding and actively participating in the budget process. Monitoring and controlling office expenditures within approved budget.
Ability to research and prepare reports or other correspondence as required.
Other duties as assigned for the purposes of legitimate business reasons.
EDUCATION / EXPERIENCE REQUIREMENTS:
Minimum 3-5 years’ experience in a management role; preferably in a healthcare setting.
Bachelor Degree in Health or Business Administration (or other similar business degree), preferred.
Advanced MS office skills with proficiency in word processing and Excel.
Knowledge of health care administrative practices.
Skilled in developing and maintaining effective working relationships with staff, patients, public and external agencies.
Ability to demonstrate: Critical thinking, exceptional time management, effective written and verbal communication, negotiation and motivation, conflict management and personnel development.
Ability to work well in a very fast-paced environment while maintaining professionalism, composure and an individualized, compassionate approach to patient care.
Ability to take initiative and to exercise independent judgment.
