The Executive Assistant provides administrative and secretarial support to senior executives, e.g. heads of major divisions or administrative units. This role provides administrative support to the Niche Strategy Leader. This position includes extensive interaction with all levels of the Gallagher hierarchy, including top corporate executives, regional and branch managers, as well as producers. Some interaction with markets and clients may be required.
Essential Duties and Responsibilities:
Prepares external/internal correspondence
Screens telephone calls and visitors
Makes travel arrangements
Coordinates meetings and receptions
Prepares presentation materials and maintains/files documents
Coordinates and produces sensitive reports and analyses (e.g., budgets)
May coordinate the work of additional secretaries and administrative assistants
Works with limited direction from the senior executive and possesses a thorough knowledge of the organization
Makes judgments regarding assigned and ad hoc duties
Has regular contact with clients, industry and government officials, and senior management in other divisions
Coordinate meetings, book conference rooms, prepare meeting materials, order meals as necessary.
Assist in the completion of budgets, various reports and projects on a monthly basis.
Participate in coordination of conferences such as PRIMA, AGRiP, etc.
Maintain Public Sector Niche database in SharePoint.
Submit invoices for processing using Gallagher’s Circulus system.
Maintain files, provide phone coverage, and manage all scheduling for the Niche Strategy Leader.
Open and process mail, including taking action where necessary.
Assist with creating submissions, proposals and other technical insurance documents.
Coordinate travel arrangements and submit all expenses for processing.
Provide assistance with other tasks and projects as they evolve.
High school diploma
7 or more years related professional experience
Proficiency in Microsoft application skills, including Word, Excel, and PowerPoint
Experience with SharePoint
Some technical insurance experience preferred and/or completion of CPCU or ARM courses
Incumbents in this position possess excellent organizational skills and can handle multiple tasks simultaneously
Need to possess strong verbal and written communication skills
