Patient Services Coordinator – Otolaryngology

Position Highlights:

  • Patient Services Coordinator acts as a patient liaison and program developer for the Facial Plastics and Reconstructive Surgery Service Line.

  • This position will work directly with physicians, patients, and other Rush care teams to implement processes to promote the highest standards of patient care including; satisfaction, throughput, program development, and outreach/marketing strategy.

  • Responsibilities include meeting with the facial plastics and reconstructive surgery physicians to discuss patient care cases and methods to improve clinical coordination pathways, patient throughput, patient and family education, marketing and strategy campaigns, and leading efforts to improve the reach of the service area.

Position Responsibilities:

  • Discusses cosmetic consultations, cosmetic procedures and skin care services with prospective patients over the phone and establishes value of services

  • Schedules cosmetic patients in the computer system; enters required demographics.

  • Sends information to callers—those who schedule and those who don’t—and tracks activity in the database.

  • Maintains the coding compliance standards set by the practice; understands the practice's Coding Compliance Plan, attends annual training, and reports all identified and suspected coding compliance violations to the Compliance Officer

  • Meets with the surgeon monthly to discuss the results of marketing programs, and review meaningful data

Surgery Counseling, Scheduling, and Follow Up

  • Greets cosmetic patients, when possible, at the front desk.

  • Uses the imager to show patients possible results of surgery; answers questions and shows video tapes of specific procedures.

  • Schedules all surgeries—coordinates patient pre-operative paperwork, H&P, examinations, and lab work, and confirms written consent for procedures.

  • May take photographs for the surgeon.

  • Accompanies the surgeon while he/she is examining cosmetic patients, if a chaperone is needed.

Practice Enhancement & Marketing

  • Ensures marketing information capture tools are understood and used by all staff, and that staff are trained properly in using marketing collateral.

  • Aides in management of social media platforms for the practice. Interfaces with web providers to implement websites changes as needed.

  • Represent the practice at health fairs, makes presentations at women’ groups, and actively promotes practice services in the community

  • Maintains professional-looking photo books—making suggestions to the surgeon about which patients to add

  • May assist with Service Line clinical research projects

Position Qualifications Include:

  • Bachelor’s degree required

  • Three or more years of experience, with increased responsibility, in a surgical practice, customer service, hospitality, or travel industry.

  • Experience with practice management software and word processing applications

  • Excellent written and oral communication skills and computer skills required

  • Experience in marketing or sales programs preferred

  • Neat, professional appearance

  • Ability to understand patient concerns and handle them appropriately

  • Ability to discuss financial arrangements with patients comfortably
