This job was posted by : For more information, please see: Hours: 9:30 AM - 5:30 PM, This is a temp-to-hire position Summary: The New Business Coordinator will act as the Conflicts Department's first point of contact for all new client and new matter requests. The Coordinator will be responsible for distributing new requests for search and analysis. The role is also responsible for managing the new business intake workflow, data entry and data integrity in the conflicts database. This role will interface with all members of the Conflicts Team, the Assistant General Counsel as well as Firm attorneys and their secretaries. Duties & Responsibilities: Facilitate and monitor new client and matter workflow. Assess all new client and matter requests, determine the complexity of the request and assign the request to the proper analystManage and route Emergency Requests to the appropriate analyst based on current work load across all analystsMonitor the Conflicts Hotline and the Conflicts Department e-mail boxPerform preliminary research on the parties involved in a request before assigning the search request to an analystAssess whether information provided is complete and if not, ask requestor for clarifying informationUse Firm research databases as well as Dun and Bradstreet and CapitalIQ. Perform general internet researchReview analyst queues on a daily/weekly basis to ensure tasks are being completed in a timely manner or re-assigned to another analyst as appropriatePrepare end of day summary of outstanding requests to be processed overnightDistribute such requests to either the London office or the analyst handling emergency requests Provide excellent and timely customer service to Firm attorneys and personnelProvide status updates to attorneys and/or secretaries on the client/matter opening process if requested Review and process new client and matter intake documents and support analysts in the review of completed searchesSupport the tracking and analysis of conflicts and new business related KPIs and metricsSupport other data entry and tasks as requiredRecognize when additional hours are needed to meet department demandsWork after hours if neededQUALIFICATIONS:Must be specifically listed on resume in order to be considered for this position:High School Diploma or GED equivalent requiredOne plus years of administrative assistant experience required Competencies: Experience in a law firm preferredBachelor's degree preferredExcellent written and verbal communication skillsAbility to learn quickly and work on a team or independentlyExcellent prioritization skills and need for confidentiality a mustStrong knowledge in Microsoft Excel, MS Word and OutlookConsistently at work on time, follows instructions, responds to management direction and solicits feedback to improve performancePrioritize and plan work activities, use time efficientlyAdapt to changes in the work environment, manage competing demands and is able to deal with frequent change, delays or unexpected eventsStrong organizational skillsStrong attention to detailStrong interpersonal communication skillsStrong analytical and problem solving skillsClearance of firm standard background checks is required.
