PAWS Chicago Assistant Clinic Manager in Chicago, Illinois

Job Summary PAWS Chicago is seeking a Spay/Neuter Clinic Assistant Manager who will be responsible for supporting the Clinic Manager in leading and training of clinic staff, ensuring efficient operations and overseeing customer service initiatives. The Assistant Manager will drive a customer centric environment, providing the highest level of customer service possible, while ensuring high quality medical care and efficiency. This role will also forge strong relationships with managers and employees within the clinic and across the PAWS organization while ensuring a highly engaged work atmosphere. The Assistant Manager will act as Manager when Clinic Manager is not present, and will be adept at handling basic medical concerns, inventory, and interdepartmental collaboration with other shelter departments. Duties and Responsibilities * Customer Service/Front Desk* Focus on customer satisfaction and providing a high quality of service and appreciation for all Clinic clients * Train new and current staff as well as volunteers on customer service and medical information related to the receptionist position * Supervise PTO requests, payroll and scheduling for staff * Be the primary point of contact for scheduling rescue group(s) appointments * Ensure rabies certificates are accurately completed and processed * Oversee cleanliness, inventory and organization of the clinic lobby * Write educational literature for Clinic clients for posting in the lobby * Update protocols/processes as needed * Work with the team to address areas of improvement and help to formulate ideas on implementing solutions * Assist Community Outreach with the Feral Cat Trap Loaner Program * Ensure vaccine clinic is well staffed, running efficiently, has sufficient inventory and clients are attended to in a timely manner * Assist Community Outreach with oversight of the GusMobile program, bringing spay/neuter appointments to Outreach clients * Address client concerns/complaints and find solutions with the Lead Veterinary Receptionist * Provide end-of-day reports and ensure reconciliation of cash and credit * Strive to meet goals for revenue and volume of appointments for surgery and vaccinations * Manage surgical scheduling based on the veterinary schedule, clinic staffing and shelter population * Review inventory for each Clinic area and assist in ordering supplies * Ensure the clinic is orderly, clean, well-stocked and organized * Assist the Manager in preparing data for reporting, including microchips and taxable sales * Collaborate on recruitment and hiring of Clinic Staff with the Manager * Acts as Manager when the Clinic Manager is not on location.
