Aerotek Bilingual Administrative Assistant in BATAVIA, Illinois
This person will report to the HR Manager.
The job is Administrative with HR understanding. The manager is a one person team so she needs and Admin Assistant who can help her and is very well rounded.
-Confidentiality is very important!
-Will do calendaring
-Assist Spanish speaking employees with conversation, complaints, etc.
-Dissect documents and translate from English to Spanish and vice versa
-Work through emails (internal and external) using Outlook
-Create a better employer brand through projects/HR
-Have good social media skills to assist with controlling accounts and branding
-Process invoices or documents into the system as needed
-Assist with projects with diff departments when needed
Front Office/Reception Duties
•Manage office communication system by directing calls to appropriate departments.
•Manage conference room by maintaining meeting calendar and keeping area “meeting ready”.
•Greet and direct customers or vendors during visits.
•Manage and order office supplies, coffee supplies and printer supplies.
•Receive incoming mail and distribute.
•Maintain postage machine and process all front office outgoing mail.
•Provide administrative support to Human Resources Manager.
•Assist with implementation of HR programs throughout the company.
•Maintain company organization chart and distribute as required.
•Report temporary employees’ payroll.
•Maintain personnel files in accordance with Federal and State law.
•New employee safety orientation and record keeping.
•Project coordination for employee events.
